Sponsored Research Workday Transition Impacts

The Workday HCM and Finance go-live is on November 15, 2023. You are receiving this email because you are a Kuali Research user.

The transition to Workday has impacts on processing that happens for sponsored awards and in Kuali Research.

Below is key information on the impacts of the transition to Workday:

  • Last KR updates in KFS: KFS is being replaced by Workday. The last day changes can be made in Kuali Research that create new KFS accounts or impact existing KFS accounts is October 11. No new/existing KFS sponsored accounts will be created or modified using Kuali Research after 10/11. This includes manual KFS account updates.
  • For UMCP Only - AANA Process/KFS Accounts: 
    • If an award is received or expected to be received BETWEEN 10/11 and when Workday is live, the AANA process may be used to request an account to use. You can access that form on ORA’s website.
    • AANA requests must be submitted to your ORA Contract Administrator by October 1 to ensure they can be processed by the 10/11 cutoff.
  • Purchase order/subaward impacts: 
    • Subawards in KR as of 10/11 MUST have a Purchase order created in KFS by the 10/31 purchase order cutoff. 
    • Subawards not in KR as of 10/11 should NOT have a PO created in KFS
  • New accounts/Modifications after 10/11: New awards received after 10/11 and modifications to awards after 10/11 will be loaded in Workday once it is live on November 15

Other Workday Transition Impacts

  • Proposal Routing: The KR proposal routing process will remain unchanged prior to and after Workday Go Live.
  • Invoicing: Invoices will not be initiated from 11/1 to 11/14. Invoicing in Workday will begin on or after 11/15.  
  • Cost transfers and JVs: All KFS cost transfers and journal vouchers (payroll and non-payroll) must be received by your institution’s Central Office by 10/26. There will be no cost transfers and journal vouchers completed after this date until Workday is live. 

Visit the Drive to Go Live page on the Elevate website for additional information around key dates leading up to the Workday go-live for various legacy systems. These dates will be updated as we get closer to the Workday go-live if there are any changes. To stay up-to-date with the latest information, you can also subscribe to our Google Calendar, which has all Last Day Activities and important cutover dates for both Human Capital Management (HCM) and Finance.
